Children's Privacy Notice

TOMA BAṜRE EDUCATION provides educational, examination, fellowship, internship, project, and related services that may involve teenagers and other young people. This notice explains how we approach personal information involving children and minors.

Who This Notice Covers

This notice supplements our general Privacy Policy and applies when personal information relates to a person under the age of 18.

Applicants Age 13 and Older

Our online application and registration services may be used by applicants who are age 13 or older. Applicants under 18 may be required to provide parent or legal guardian information, permission, acknowledgments, signatures, or supporting documentation.

The level of parent or guardian involvement may depend on the applicant's age, location, requested service, educational institution, examination requirements, travel arrangements, and applicable law.

Children Under 13

Our website forms and online application tools are not intended to be completed independently by children under 13.

If a child is under 13, a parent or legal guardian must contact us and submit any necessary information on the child's behalf. Children under 13 should not independently send personal information through our website, email addresses, forms, or other online services.

If we learn that personal information was submitted directly by a child under 13 without appropriate parental involvement or authorization, we will take reasonable steps to review and, where required, delete the information.

Information We May Collect

Depending on the service, we may collect:

  • The child's or applicant's name, age, and date of birth.
  • Contact information.
  • Parent or guardian names and contact information.
  • School, academic, examination, or enrollment information.
  • Identification and eligibility documents.
  • Accessibility or access-arrangement information.
  • Emergency, travel, health, dietary, or safety information when relevant to a program.
  • Application responses, essays, interviews, recordings, or submitted work.
  • Payment and transaction information submitted by a parent, guardian, candidate, or authorized payer.
  • Photographs, videos, testimonials, or project materials when appropriate authorization has been obtained.
  • Technical information generated when the website or an online service is used.

How We Use This Information

We may use information involving minors to:

  • Evaluate eligibility and process applications.
  • Register candidates for examinations or educational services.
  • Communicate with applicants, parents, guardians, schools, and authorized representatives.
  • Provide program, examination, travel, accessibility, safety, or student-support services.
  • Maintain required educational, safeguarding, financial, compliance, and administrative records.
  • Protect participants and respond to emergencies.
  • Meet examination-board, educational, legal, insurance, or partner requirements.
  • Prevent fraud, misuse, security incidents, or threats to safety.
  • Document and report program outcomes using appropriately authorized or de-identified information.

When Information May Be Shared

Information may be shared only as reasonably necessary with:

  • Parents, guardians, and authorized representatives.
  • Schools, examination boards, universities, and educational partners.
  • Instructors, coordinators, invigilators, safeguarding personnel, and authorized staff.
  • Travel, accommodation, insurance, healthcare, or emergency-support providers when relevant.
  • Technology, form, storage, communication, payment, or administrative service providers.
  • Government, regulatory, law-enforcement, or legal authorities when required.
  • Other parties when a parent, guardian, or legally authorized person has provided permission.

We do not sell children's personal information.

Photographs, Video, and Public Recognition

We may request separate permission before publicly using a minor's identifiable photograph, video, testimonial, creative work, name, or program participation. A parent or guardian may contact us with questions about an existing authorization or request, subject to applicable requirements and records that must be retained.

Parent and Guardian Choices

Subject to applicable law and legitimate record-retention obligations, a parent or legal guardian may contact us to:

  • Ask what personal information we maintain about their child.
  • Request correction of inaccurate information.
  • Request deletion of eligible information.
  • Withdraw an optional authorization.
  • Ask questions about how information is used or shared.

We may need to verify the requester's identity and relationship to the child before responding.

International Participants

Our programs may involve participants, schools, partners, or service providers in different countries. Information may therefore be processed in the United States or another country where appropriate safeguards and operational arrangements are used.
